AO4 Executive Support Officer
Job description
Eden Ritchie Recruitment are seeking an AO4 Executive Support Officer to provide high quality, confidential, executive administrative and secretariat support to a Deputy Director General for a large government department.

Key Responsibilities:
- Provide confidential executive administrative and business support to the Deputy Director-General, including maintaining effective time management practices through coordinating diary appointments and preventing unnecessary interruptions, organising meetings and other events that may require preparation of agendas, set up of technical equipment and recording of minutes.
- Assist with identifying, developing and implementing executive support procedures and systems to accommodate the demanding environment and ensure the efficient scheduling of the Deputy Director-General’s commitments, correspondence, appointments and overall office management.
- Manage the prioritisation and processing of emails to the Deputy Director-General and support the Principal Executive Officer with managing the office’s shared mailbox by determining priority, initiating necessary action and undertaking the preparation of responses in the form of emails, letters, minutes and other correspondence on behalf of the Deputy Director-General.
- Coordinate and the flow of correspondence and signing in and out of the Office of the Deputy Director-General’s office including “bring-ups” and tracking to ensure deadlines are met.
- Identify emerging issues and trends within Community Services which may impact the office, clients, the community and/or the department and escalate concerns to the Principal Executive Officer or Manager Business Services as appropriate.
- Consult and negotiate with executive management and senior officers from other agencies, private or community organisations to resolve any matters as requested by the Deputy Director-General or Principal Executive Officer while maintaining effective working relationships.
- Organise travel arrangements including the planning of itineraries, travel bookings, accommodation and preparation of expense claims.
- Monitor and screen incoming telephone calls to the Office of the Deputy Director-General and assist with or redirect enquiries where appropriate.
- As a member of the team, undertake tasks allocated by the Manager Business Services in a constantly changing work environment to support innovation and efficient delivery.

Highly Desirable:
- Experience with providing administrative support to senior/chief executives
- Experience with diary management, coordination of papers and briefings, preparation of agendas, travel coordination
- Experience in public sector executive offices
