Job description

Purpose of position: To organise appointments, maintain records and perform medical and other tasks in order to ensure a smooth and efficiently functioning practice that provides an exceptional standard of care to our patients. All duties are to be carried out in conjunction with the practice’s policies and procedures.

Reception

· Open and close clinic.

· Greet patients and other callers at the practice in a courteous and efficient manner.

· Answer the telephone promptly and courteously.

· Schedule appointments for patients.

· Issue patient invoices/receipts and bulk bill as required.

· Enter and update patient registration details.

· Manage calls from patients wanting test results by referring them to the practice nurse on duty.

· To exercise confidentiality with regards to patient care and all aspects of the practice.

· Maintain reception area in a tidy and welcoming manner.

· Ensure registration forms, practice information sheets, and information displays are correct and adequately stocked.

· Assist doctors and nurses by making telephone calls, photocopying, etc., as requested and required.

Administration

· Prepare and record outgoing mail and posting daily.

· Open and distribute incoming mail.

· Type medical reports as required.

· Heath Engine and Hotdoc Recalls daily

· Pen Cat tool and PenCat4 Plus for the Demographic updates for NQPH

· Scan and/or file patient correspondence, results daily, or as required.

Attending reception desk

  • Registering new patients into Software (currently using Best Practice)
  • Maintaining records ,filing and photocopying, typing and word processing
  • Forwarding invoices to Supervisor /Practice Manager

· Billing clients and customers ( under instruction from Supervisor /Practice Manager)

Other Duties

· To actively participate in general staff meetings.

· To attend training sessions in-house and external courses when required.

· General housekeeping such as tidying and cleaning of waiting room when necessary.

· Undertake other duties as required from time to time as directed by the practice manager, nurses and doctors.

· Maintain knowledge of, and comply with, workplace health and safety principles including infection control.

EFTPOS)

  • Cash handling
  • Answering calls
  • Secretarial and executive support services
  • Helping with Nurses or Supervisor in vaccine storage and Vaccine Fridge Management
  • Cleaning of premises

Opening Shift

  • On Opening Door, deactivate alarm
  • Turn phone to Day mode
  • Check and document Min- Max temperature (in Vaccine fridge) in the appropriate chart
  • Switch off the Air -Conditioner unit in the Kitchen and switch on the Central A/C
  • Open Doctors rooms turn on all the computers and screens
  • Turn on all reception computers and log on to Best Practice
  • Complete Room Checklists (if any from previous night) - refer to checklist as per shift
  • Check Fax for incoming faxes and distribute appropriately
  • Ensure Printer is full & New Patient forms copied
  • Tyro transactions- fill in the Template on the admin desktop and then email ( as advised by Supervisor/Practice manager)
  • Wipe surfaces in Reception and Waiting rooms, and Doctors rooms
  • Empty Bins – from each section of the premises daily - never keep these in the corridor

Closing Shift

  • Check and document Min- Max temperature in the appropriate chart
  • Stock & Clean doctors’ rooms & complete rooms as per checklist
  • Put dirty linen in Laundry bin and replace sheets on each examination couch. Wash up dirty dishes and tidy sink area
  • Tidy the Reception, Waiting Rooms and Doctors rooms
  • Check that printers have plenty of paper
  • Check that the Back Doors are locked
  • Turn Phones to night mode at 5:30pm
  • Shut Down All Computers & Turn Screes off
  • Turn off the Central Air -Con. Turn on the small Air-conditioner unit in the Kitchen (which cools the Computer Server and Vaccine Fridge)
  • Turn off all lights, and set alarm (If last to leave)
  • (If last to leave) Ensure that that the Alarm code is set, and Alarm is on “ON” mode before leaving
  • Lock Front Doors before you leave

Job Type: Casual

Salary: From $30,000.00 per year
