Position Purpose/Summary
:

The Office Assistant will assist in managing the Raleigh office. The Office Assistant may also perform duties as necessary under the leadership of the COO, Executive Director, Quality Management Director and Human Resource Specialist.

  • Follow all of the policies and procedures established by Lutheran Services Carolinas.
  • Answer and distribute all incoming switchboard calls; including managing referrals and inquiries that come through the LSC administrative office and/or LSC website.
  • Welcome, communicate with and direct all visitors to their appointments.
  • General office duties to include fax, email, photocopying, processing ingoing/outgoing mail.
  • Assist Office Manager with scheduling conferences/trainings, travel arrangements for COO or Executives; arranging meeting sites including provision for refreshments, room setup/clean up etc.
  • Reconciling monthly credit card statements for COO.
  • Code weekly/monthly invoices.
  • Order business cards and other printed materials and distribute as requested.
  • Order office supplies.
  • Prepare end of the month reports for copiers and postage machines.
  • Report meter readings to venders as requested.
  • Assist other departments with clerical duties as needed.
  • Other duties as assigned by supervisor.

  • Ambulatory in all locations, ability to navigate steps.
  • Must have COVID vaccine or submit a medical/religious exemption. Exemptions are not guaranteed.
  • Ability to bend, stoop, and reach overhead.
  • Minimum lift and carry requirement of 25 pounds.

Qualifications (Minimum Job Requirements): Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Education: High School diploma.

Experience: 0-2 years administrative/office experience; MS Office (Word, Excel, Powerpoint); and Microsoft Outlook.

Specific skills/abilities: Must be self-motivated, have good time management skills and have the ability to work independently. Must be flexible and be able to work irregular hours. Must work well with diverse populations and in group settings. Must possess good communication skills.

Specialized knowledge, licenses, etc: Must possess a valid driver’s license and have reliable transportation. Must have experience with the use of computers and general office equipment.
