To provide administrative support to the Capital Equipment Order process, within the assigned area, ensuring orders are processed in an efficient, accurate and timely manner consistent within the Arbon standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

Retrieve orders from the order log, reviews for accuracy and completeness following established standards, and enters orders as needed. If not, works with person entering order to get required information.

Create, maintain and keep updated work orders in support of the Equipment Order Process. This includes both Rite-Hite and Allied Equipment Items, as required for the product installation process.

Track orders in process from entry through invoicing, ensuring Enterprise One and work orders are updated as needed.

Send purchase orders to allied vendors as required, including preparation of purchase orders, if needed. Work with Allied vendors regarding shipment dates and associated invoices. Review Allied vendor invoices for accuracy, update in order as required/post, and process for payment.

Communicate with District Management, Coordinators and/or Salespeople regarding orders, missing PO's / documentation from customers/vendors, availability dates from Rite-Hite and Allied vendors. Prepare and distribute direct customer communications relating to Order and Shipment information.

Thoroughly review orders for accuracy in relation to Customer Purchase Order, Flash Messages and Arbon Policy.

Calculate costs, process payables and reconcile all Sales Orders.

Add freight costs to sales orders as needed.

Monitors work orders information for accuracy, updates and completeness per the requirements.

Assists Districts and the Rite Hite A/R Specialists as needed in the site specific, site qualification, close out documentation and closeout process.Reconcile each completed Order for each invoiced job, requesting adjustments to order as needed. Flagging jobs out of compliance, low or negative margin jobs for managerial review.

Backs up other Order Support Administrators and Customer Service Representatives as needed.

Provide routine administrative support to the CSR Group.

Other administrative duties may be assigned.

PRINCIPAL ACCOUNTABILITIES

Timely administrative support to the Equipment Order Process to meet customer needs

Accurate and timely processing of Work Orders in support of the Equipment Order Process.
Accurate and timely processing of invoices, payables and posting of payables that is occurring daily, minimizing lag from order completion to invoice being posted to the order.

Required Experience:

Rite-Hite sells the best, and we hire the best. This position requires a high school diploma or GED. In addition, this position requires: computer, 10-key calculator skills, excellent organizational ability and professional phone skills. Prior similar experience is preferred. This position requires a minimum of one year of related experience, prior experience in a field service environment is preferred. You must have good attention to detail and the ability to juggle multiple projects without dropping the ball. Strong communication and customer service skills are also essential.
